Here’s a step by step guide to setting up your e-mail account in Microsoft Outlook 2021.
This guide specifies only the options you need to change from the defaults, so if any options are not listed here, they don’t need to be changed.
- Open Outlook.
- From the File menu, click Account Settings > Account Settings.
- Under the Email tab, click New.
- Enter your email address in the box provided.
- In the same window, find the Advance options and select Let me set up my account manually.
- Click the Connect button.
- Select the mailbox type, we recommend POP.
- Enter your password (ensure it’s either copied and pasted or carefully typed to avoid errors) and click Connect.
- And you are done! It’s that simple. You may enter additional mailboxes or setup your mailbox on other devices, or if you are done deselect the appropriate options, and then click Done.
Pro Top:
To recycle your disk space on your hosting account, delete emails off the server once downloaded to Outlook. To enable this, do the following:
- Open Outlook.
- From the File menu, click Account Settings > Account Settings.
- Under the Email tab, double click the mailbox you want to edit.
- In the new window under Mail settings select the following:
- Ensure Leave a copy of messages on the server is selected.
- Ensure Remove from server after X days is selected (we recommend 7 days)
- You can also ensure Remove from server when deleted from Deleted Items is selected.
- Click Next and click Done and you are ready.
You will now recycle your disk space on your hosting account and never run out of disk space due to email over-usage.
Note: We strongly recommend you have a backup policy/solution for your PC and by extension your Outlook .pst file to ensure your data is protected. Your I.T. technician can advise on a suitable backup policy and solution to meet your requirements.
